Frequently asked questions.

Tax compliance, plans, getting started and support. Straight answers, written by the people who install KwanzaGest every day.

Tax compliance

Is KwanzaGest certified by the AGT?

Yes. It is software validated by the Administração Geral Tributária under certificate n.º 83/AGT/2019.

Does KwanzaGest do electronic invoicing?

Yes, at no extra cost. Electronic invoicing has been mandatory for large taxpayers since 1 January 2026, and will be required of every other business in 2027.

What do I have to set up before I can invoice electronically?

In the company settings you turn electronic invoicing on and paste the private key you got from the AGT portal. Then you enter each shop’s establishment number and request the numbering series.

Which documents are transmitted to the AGT?

Invoices, advance invoices, invoice-receipts, credit and debit notes, and receipts. Pro-formas, quotations, delivery notes and transport notes are left out and keep their ordinary numbering.

The AGT refused one of my invoices. What do I do?

The electronic invoicing page shows the status of every document sent and the error that came back. From there you can resubmit it, refresh its status, or open the document to correct it.

How do I generate the SAF-T file?

You pick the shop, the period and the file type, and the SAF-T (AO) is built from data already recorded. Every file you generate stays in a list, to consult and to download again. To check a file before you hand it in, use SAFT.AO.

Does KwanzaGest send the SAF-T to the AGT for me?

No. It generates the file and flags every warning and error it found, with its code and message; you upload it yourself on the taxpayer portal.

Before you upload, you can check the file on SAFT.AO — a free tool that validates the SAF-T (AO) against the official schema and lets you open and inspect what is inside it.

What if I had no sales in the period?

KwanzaGest tells you there is nothing to export and does not generate an empty file. In that case use the “Sem operações” option on the SAF-T (AO) upload page of the taxpayer portal.

Where do my invoice numbers come from?

From numbering series per document type, per shop and per year, in the form FT SEDE2026/1: code, establishment, year and sequence. With electronic invoicing on, the series are requested from the AGT; without it, KwanzaGest controls the numbering itself.

Which documents can I issue?

Invoice, invoice-receipt, advance invoice, pro-forma, credit and debit notes, receipt, delivery note and transport note. Self-billing has its own document types and series.

Is VAT set up for Angolan law?

Yes: the general regime, the simplified regime and the exclusion regime. You change regime in the company settings, which warns you to confirm your selling prices afterwards, because the rate changes.

I sell in Cabinda at a reduced rate and elsewhere at the normal rate. Can one product carry both?

Yes. Each product can hold up to three taxes, kept in three tables you can name. The table is set on the customer, so the right rate is applied on its own.

Do I have to type the VAT exemption reasons myself?

No. The reasons are already loaded and listed with their code, description and notes. You pick the right one on each product, with the date it takes effect.

My customer holds back part of the tax. Does KwanzaGest handle that?

Yes. You set the captive VAT and the withheld tax on the customer, and both are applied to new documents, each with its own line on the total and on the receipt.

Does KwanzaGest check a customer’s NIF with the AGT?

Yes. When you register a customer, supplier or debtor it looks the NIF up in your own records and then at the AGT, filling in the official name and the entity type. The generic final-consumer NIF and foreign NIFs are not checked.

How do I know a customer’s NIF is still valid?

Each customer, supplier and debtor shows the status of its NIF — active, inactive, suspended or invalid — with a button to refresh it. On a suspended or invalid NIF, KwanzaGest warns you that anything you invoice to that customer will be treated as invalid.

I typed a customer’s NIF wrong and have already invoiced them. Can I correct it?

No. Once a NIF is assigned to a customer it cannot be changed, because of the certified-software rules. The exception is a customer still on the generic NIF, where you can set the real one.

How do I cancel an invoice I have already issued?

A document still being edited is deleted; a finalized one is reversed, with a reason: compulsory if the document type requires it. If it was already included in a SAF-T file, KwanzaGest warns you before you go ahead.

How do I raise a credit note against an invoice?

You open the invoice and use “Corrigir com”, then pick the correction document. The new document is built from the original and stays linked to it.

I have invoices from a manual book and from my old software. Can I get them in?

Yes, through document recovery, which covers three cases: documents written by hand in books from an authorized printer, documents lost when a backup was restored, and documents issued by software that is not certified. The original numbers and dates are kept.

I buy from suppliers who cannot issue an invoice. Can I self-bill them?

Yes. Self-billing is a module of its own, with its own document types and numbering series. With electronic invoicing on, these documents are transmitted to the AGT as well.

What reports can I get out for my accountant?

A tax report by document, summaries by tax, by customer and by document type, a stamp duty report, and simplified-regime reports. All of them filter by date, tax and shop.

Invoicing

Can I print on A4 and on a till roll?

Yes, and also a gift receipt, a version with barcodes and a second copy. Print models are set per document type and per shop, and can be overridden for one document.

Can I email an invoice to the customer?

Yes, from the document itself, with the PDF attached and an email template you can edit. Reports are sent the same way.

I invoice the same customers every month. Can that be automated?

Yes. You set up a recurring document per customer — weekly, monthly, quarterly, half-yearly, yearly, or every so many days — with a start date and, if you want, an end date. It can email the customer, and it keeps a history of each run.

Can I charge resellers one price and walk-in customers another?

Yes. Each product has three selling prices, and the three tables can be renamed. Each customer has a default table, and can also carry a flat commercial discount.

Can I set a discount that only applies from a certain quantity?

Yes. There are direct discounts and quantity discounts, per product or per product family, with a start and an end date, as a percentage or an amount, and per price table.

Can I see the discounts my team has been giving?

Yes. The discounts report shows the document, date, customer, product, value and discount, and filters by user and by period.

Does it work out my salespeople’s commission?

Yes. Each salesperson carries one commission percentage, and the report lists their invoices for the period with the commission on the total and on the net amount.

Can I invoice in dollars or euros?

Yes. There is a currency and exchange rate table, with buy and sell rates, and each document type can show the counter-value in a second currency.

Do I have to enter the exchange rate every day?

No. KwanzaGest reads the rates published by the Angolan banks and can update yours automatically, at an hour you choose, from the BNA, the BFA or the BMA — or whichever is most favorable.

Can I stop a customer buying above their credit limit?

Yes. You set a general limit and choose whether it is measured on the account balance or on debt alone; any customer can have their own limit, or none. Once the limit is passed, that customer’s documents cannot be finalized.

Payments and treasury

Can my customers pay by Multicaixa reference?

Yes, once the integration is switched on. The reference is issued for an invoice, pro-forma or debit note that is already finalized, and can be sent to the customer by email or by SMS.

Which provider do I need an account with to issue references?

KwanzaGest connects to ProxyPay and to KyamiPay. The contract credentials are yours, and you choose the bank account tied to it.

When a customer pays a reference, do I still have to enter the receipt?

No, if you set up the webhook the provider requires: the payment reaches KwanzaGest and the receipt is created automatically. Without it, those receipts are entered by hand.

Can a customer pay only part of an invoice?

Yes. On the receipt you pick the open documents and type how much of each one is being paid, up to the amount outstanding. The invoice stays open for the remainder.

Can one receipt take cash, card and check together?

Yes. A single receipt accepts cash, card terminal, cash and bank titles, state titles and an account offset, and shows the amount used, what is still missing and the change.

A customer paid more than they owed. What happens to the difference?

When you finalize the receipt, KwanzaGest offers to issue an advance invoice for what is left over. On that customer’s next document it asks whether to use their credits or their advances first.

Can I see at any moment who owes me money and how much?

Yes. The customer account report lists every open document with its date, due date, value and balance, grouped by customer or by document type, with a filter for overdue documents only. There are no fixed 30, 60 and 90 day buckets.

Can I settle what I owe a customer against what they owe me?

Yes: the account offset is one of the payment methods on a receipt, and there is a report listing every offset made.

Does it remind the customer that an invoice is due?

It can send an SMS before the due date, on the day itself and after it, at an hour you set. SMS goes out through an external service, which needs its own account and an internet connection.

How does opening and closing the till work?

You open the session by declaring the cash counted and the float you are putting in; at closing you declare what you counted and what you took out. If the count does not match the system, correction movements are recorded.

Can I stop staff taking money without opening the till first?

Yes, and that is the default: a user cannot record receipts without an open session. You can exempt those who work without a till, and you can force a cash count at opening and at closing.

At the end of the day, how do I check what each till took?

The cash sessions report shows the opening and closing balances, the takings for the session, every movement and a summary by payment method, grouped by user or by terminal.

Does KwanzaGest import my bank statement?

No. There is no bank feed and no statement import. Movements come from receipts, from supplier payments and from entries you make yourself, and you reconcile using the treasury account statement.

Stock and purchasing

I have a shop and a separate store. Can I keep the stock apart?

Yes. You create as many warehouses as you need, each limited to the shops where it is available, and every product’s stock is held per warehouse.

How do I move goods from one warehouse to another?

You issue a transfer-out document in the sending warehouse and, from it, generate the entry in the receiving one. On the entry you can correct quantities or remove lines that did not arrive.

Can it stop staff selling something that is not in stock?

Yes, and that is the default. Negative stock has to be allowed twice — on the product and on the warehouse — and the warehouse setting only affects products that already allow it.

Does it tell me when I am running low on something?

You set a minimum and a maximum per product and per warehouse, and the stock control report lists what is below the minimum or above the maximum, with the difference. There is no email or SMS alert: you open the report.

Can I track batches, expiry dates, serial numbers and variants?

Yes. Each product has one stock control type: quantity only, batches, perishable, individual with a serial number, or variants with properties such as color and size.

When I sell, which batch leaves first?

The rule is set on the product: FIFO, LIFO, LEFO or FEFO. The two expiry-based rules are only available on batch-controlled products; on the rest, FIFO applies.

How do I find out what is about to expire?

The stock expiry report lists stock by expiry date, with filters for what has already expired and for what expires in 30, 60 or 90 days, and can be narrowed to a warehouse, family or product.

Can I do a stock count without closing the shop?

Yes. When you open the inventory you choose what is frozen while counting: nothing, the whole warehouse, only some families, or only some products. Closing it generates an adjustment document that corrects the balances.

We make products out of other products. Can it handle that?

Yes. A product can be manufactured by composition, out of several others, or by decomposition, where one item is broken into several. Running the order writes the stock exit and the stock entry documents.

How do I record breakages, internal use and giveaways?

They are stock exit document types of their own, kept apart from sales: internal consumption, gifts and giveaways, and losses and breakages.

My supplier’s invoice includes freight and clearing. Can I add that to the cost?

Yes. Additional costs are applied to the stock document, either repeating the same amount on every line or splitting one amount across them, and you see the effect on each line before confirming.

The goods arrived before the invoice. Which do I register first?

Either order works. From a stock entry you generate the purchase document, and from a purchase invoice you generate the stock entry, naming the warehouse. The two stay linked.

After a delivery, can I update selling prices in one go?

Yes. A bulk price update pulls its lines from a stock entry or from a whole product family, and works the new prices out from the weighted average cost, the last entry price, or the current selling price.

Can I print my own price labels?

Yes: sale, discount or stock labels. You either export a label sheet as a PDF using a layout you configure, or print to a label printer through KwanzaGest Dispositivos.

My products came without barcodes. Can I still use a scanner?

Yes. A product can hold several barcodes, including one per batch or per serial number, and KwanzaGest can generate an internal EAN-13 for a product that has none.

I already have my product list in Excel. Do I have to type it again?

No. You import a CSV or Excel file and map your columns to the fields: family, code, description, unit, opening stock, cost, selling price, tax rate and barcode. Duplicate codes are flagged and skipped.

Can I see everything that happened to one product?

Yes. The product statement lists every movement — document, date, quantity in, quantity out and balance — with filters by warehouse, batch, serial number, variant and period.

POS and restaurants

Can my staff sell by touch, without typing codes?

Yes. The sale screen shows families and products as large buttons, with paging, and the products you flag as favorites appear on the opening screen.

Can I park a sale and serve the next customer?

Yes: the sale is parked, a new one starts, and you get it back from the suspended documents. In restaurant mode there is no park button, because each table already holds its own bill.

Can one sale be paid part in cash and part by card?

Yes, with as many payments as you need — cash, card terminal, check, the customer’s account and a gift card — and the screen always shows the total paid, the change and what is still owed. There is also a notes and coins screen that adds up what the customer handed over.

What equipment do I need at the counter?

The POS works with a touch screen, a receipt printer, a cash drawer, a customer display, a barcode scanner and a scale, through KwanzaGest Dispositivos, a Windows companion you download from your own server. Without it the POS still sells, but printing falls back to a PDF in the browser or to a printer shared on the server.

I sell by weight. Does the scale send the weight into the sale?

Yes, through KwanzaGest Dispositivos. You mark the unit of measure as a weight unit and, when you add the product, the quantity screen opens with the weight already read.

How does the restaurant edition handle tables?

It works in rooms and tables, each table keeps its own open bill, and a sale can be transferred from one table to another.

Can a table’s bill be split?

Yes, in two ways: divide the total by the number of people at the table, or split the bill by choosing which products to invoice each time.

Are orders printed in the kitchen and at the bar?

Yes. Orders are grouped by print zone, and you set the quantities to send each time, which is what lets you work by rounds.

Features

Does it work without the internet?

On the on-premises installation, yes: KwanzaGest runs entirely on your company’s own network. What needs the internet are the features that reach outside it: electronic invoicing, NIF lookups, Multicaixa references, SMS and the mobile app.

Does the mobile app work with no connection?

No. KwanzaGest Mobile works against the same database as the desktop and the POS, so it needs a connection; without one it warns you that it may not work. It is available for Android and for iOS.

Does it work across several shops and several companies?

Yes. You create as many shops and warehouses as you need, each user is given access only to the shops, accounts and terminals that concern them, and reports can be consolidated or per unit. No plan caps the number of shops or companies: each license belongs to one branch, so every additional shop or company is an additional license.

Can I export the reports?

Yes. Any report can be printed, exported to PDF or CSV, and sent by email.

Can KwanzaGest be integrated with another system?

Yes, through the WebAPI, with access keys you create and revoke in the administration area. Check with our team whether it is available on the plan you choose.

Can I send emails and SMS to customers from KwanzaGest?

Yes, with templates of their own for email, SMS and notifications, and a log of what went out. SMS goes through an external service, which needs its own account and an internet connection.

Plans and pricing

Which plans are available?

Maiombe, Kalandula and Luaxe, from the essentials to the full range. The detailed comparison sits side by side on the plans and pricing page.

How many people can use KwanzaGest at the same time?

There is no limit on accounts: you can create as many users as you like. What each plan sets is how many people can work at the same time, and you can add extra users to that number, charged separately, up to the plan's maximum. The plan comparison has the numbers for each.

Can I change plan later?

You can, at any time, without losing data or settings.

Is there an installation cost?

Installation, initial configuration and training your team are agreed in the proposal.

Can I see KwanzaGest working before I decide?

Yes. Ask for a demonstration through the contact form and we will show you the software applied to your kind of business.

Onboarding

How long does implementation take?

It depends on the size of the business and on the data to be migrated. The timeline is set out in the proposal, once we have seen what you use today.

Can you migrate the data out of my current software?

Yes. We import customers, suppliers, products, families and stock from Excel or CSV, or straight from the previous system, and we validate it together before anything goes live.

Do you train the team?

Yes, in person or remotely, shaped around the roles that will use it: till, warehouse, invoicing and management. The training is agreed in the proposal.

What do I need in order to install KwanzaGest?

For the on-premises installation, one Windows computer or server at your company. The workstations use only a browser, over the local network.

Do I have to buy new equipment?

To invoice, no: a computer with a browser is enough. For the counter you can add a receipt printer, a cash drawer, a barcode scanner and a scale, connected through KwanzaGest Dispositivos.

Support

What kind of support do you offer?

Our support team is Angolan and answers by email and by phone. Business days, 08h00 to 17h00, except public holidays.

Are you present outside Luanda?

Yes. We have two offices in Luanda, a branch in Namibe and a team on the ground in Benguela. The rest of the country is covered remotely and through the agent network.

How are updates handled?

They are made available by our team, and the notes for each version sit inside the software itself.

Security

Where is my data kept?

It depends on how you use KwanzaGest. With an on-premises installation, it stays on your company's own servers, at your premises. In the cloud, it is kept on our own servers, physically in Portugal — a member state of the European Union, subject to the General Data Protection Regulation. Either way, we comply with Law n.º 22/11 on Personal Data Protection.

How are backups handled?

Automatically, daily or weekly, at an hour you set, on the machine where KwanzaGest is installed. You can take a copy on demand, download it, and have copies older than a number of days you choose deleted.

Can I limit what each user sees?

Yes. Permissions are set per user and go down to the action and the document type; each user is also given access only to the shops, bank accounts, tills and terminals that concern them.

Is there a record of who did what?

Yes. Every document keeps who created it, who last changed it and when, and a canceled document keeps the reason it was canceled.

What if someone gets into a colleague’s account?

Each user can see the sessions open on their account and end them all at once. On shared workstations, a PIN can be set to unlock the account without typing the password.
